1. INTRODUCTION
SharpTender AI ("SharpTender", "SharpTender AI", "we", "us", or "our") is an AI-powered tender management platform provided and operated by SaintClairAppl.
SharpTender AI uses artificial intelligence ("AI") to assist businesses and users with aspects of tender discovery, assessment, preparation, document analysis, response development, review and tender management.
This AI Disclosure explains:
• how AI is used within SharpTender AI;
• the types of information that may be processed by AI;
• the limitations of AI-generated information;
• your responsibilities when using AI-assisted features; and
• important considerations when using AI in tender and procurement activities.
This disclosure should be read together with the:
• SharpTender AI Terms of Service;

• SharpTender AI Data Deletion Policy.
2. ROLE OF ARTIFICIAL INTELLIGENCE
Artificial intelligence within SharpTender AI is intended to assist users.
AI does not replace the user, tender team, bid manager, reviewer, approver, legal adviser, procurement specialist or other professional responsible for preparing or approving a tender submission.
AI-generated content and analysis should be treated as:
ASSISTIVE INFORMATION
rather than authoritative advice or a guaranteed determination.
Users remain responsible for reviewing, verifying, editing and approving information before relying on it.
3. AI FEATURES
Depending on the functionality available within SharpTender AI, artificial intelligence may assist with activities including:
• tender document analysis;
• tender requirement extraction;
• key date identification;
• submission requirement identification;
• evaluation criteria identification;
• tender assessment;
• go/no-go decision support;
• compliance assistance;
• tender response drafting;
• response enhancement;
• response quality scoring;

• win-theme identification;

4. AI DOCUMENT ANALYSIS
SharpTender AI may allow authorised users to submit tender documents for AI-assisted analysis.

AI-extracted information may be presented for user review before or after being incorporated into the tender-management workflow.
AI document analysis does not guarantee that every requirement or relevant provision will be identified.
5. HUMAN REVIEW OF EXTRACTED INFORMATION
Users should independently verify information extracted from tender documents.
In particular, you should confirm important information against the original tender documentation, including:
• tender closing dates and times;
• mandatory requirements;
• eligibility conditions;
• submission instructions;
• response requirements;
• word or page limits;
• required schedules;
• certifications;
• declarations;
• pricing requirements;
• evaluation criteria;
• contractual obligations; and

The original tender documentation and information provided by the issuing authority should be treated as authoritative.
6. AI-ASSISTED TENDER RESPONSES
SharpTender AI may generate suggested tender-response content based on information provided by the user and information associated with a tender.
AI-generated responses may assist users with:

AI-generated responses are drafts or suggestions.
They should not be submitted without appropriate human review.
7. USER RESPONSIBILITY FOR RESPONSE CONTENT
You are responsible for ensuring that any tender response submitted by you or your organisation is accurate and authorised.
Before using AI-generated content in a tender submission, you should verify:
• factual statements;
• company information;
• experience claims;
• personnel information;
• certifications;
• qualifications;
• capabilities;
• references;
• case studies;
• financial information;
• pricing;
• delivery commitments;
• performance claims;
• timelines;
• legal representations; and
• any other statement made on behalf of your organisation.
AI must not be relied upon to invent facts about your organisation.
You should remove or correct unsupported statements before using AI-generated content.
8. AI RESPONSE ENHANCEMENT
SharpTender AI may provide functionality that suggests improvements to existing tender responses.
Such functionality may assist with matters such as:
• clarity;
• structure;
• relevance;
• tone;
• conciseness;
• persuasiveness;
• alignment with requirements; and
• readability.
Suggested changes should be reviewed before they replace or become part of an existing response.
An AI-generated improvement is not automatically a better or more compliant response.
9. RESPONSE QUALITY SCORES
SharpTender AI may provide AI-generated response quality scores or similar assessments.
These scores are intended to assist users in reviewing tender responses.
A quality score:
• is not an official procurement score;
• is not provided by the tender issuer;
• does not represent the buyer's evaluation;
• does not guarantee compliance;
• does not guarantee shortlisting; and
• does not predict a tender award with certainty.
Actual tender evaluation is performed according to the processes and criteria determined by the relevant buyer or issuing authority.
10. AI RESPONSE REVIEW
SharpTender AI may analyse tender responses and identify potential:
• weaknesses;
• gaps;
• inconsistencies;
• unclear statements;
• missing information;
• areas requiring improvement; or
• opportunities to strengthen a response.
AI review results are advisory.
A finding does not necessarily mean that the response is incorrect, and the absence of a finding does not mean that the response is complete or compliant.
11. AI-SUGGESTED FIXES
Where SharpTender AI provides suggested corrections or improvements, users should review those suggestions before applying them.
AI-generated fixes may:
• change meaning;
• remove relevant information;
• introduce inaccuracies;
• misunderstand tender requirements; or
• produce wording inappropriate for the particular procurement.
Users remain responsible for approving and saving changes.
12. CONSISTENCY REVIEW
SharpTender AI may use AI to review multiple tender responses or sections for potential inconsistencies.
This may help identify conflicting statements, terminology or information.
However, AI may fail to identify an inconsistency or may incorrectly identify information as inconsistent.
A successful consistency review should not be interpreted as confirmation that the entire tender is error-free.
13. EVALUATION ALIGNMENT
SharpTender AI may analyse whether tender responses appear to address identified evaluation criteria.
Evaluation-alignment analysis is advisory only.
SharpTender AI does not know how an individual evaluator will interpret, weight or score a response beyond information available in the tender materials and information supplied to the Service.
An indication of strong alignment does not guarantee a particular evaluation score.
14. WIN THEMES
SharpTender AI may suggest potential win themes or strategic themes for a tender response.
Win themes are suggestions intended to assist tender strategy and response development.
They do not guarantee competitive advantage or tender success.
Users should determine whether suggested themes accurately represent their organisation's genuine capabilities, experience and value proposition.
15. GO/NO-GO AND TENDER ASSESSMENT
SharpTender AI may provide AI-assisted tender assessments or information that can assist with go/no-go decisions.
Such assessments should not be treated as financial, legal or strategic advice.
Organisations should make their own decisions based on factors such as:
• eligibility;
• capacity;
• resources;
• commercial viability;
• competitive position;
• risk;
• contractual terms;
• strategic objectives; and
• professional advice where appropriate.
16. AI AND COMPLIANCE
SharpTender AI may assist users with identifying tender requirements and managing compliance.
AI assistance does not constitute a certification of compliance.
A requirement marked, suggested or interpreted as compliant by an AI-assisted process may still require independent verification.
The tender issuer, buyer or evaluation authority determines whether a submission satisfies its requirements.
17. AI CAN MAKE MISTAKES
Artificial intelligence systems are probabilistic and can produce incorrect results.
AI output may be:
• inaccurate;
• incomplete;
• misleading;
• inconsistent;
• outdated;
• irrelevant;
• based on an incorrect interpretation;
• unsupported by the source material; or
• unsuitable for the particular tender.
AI systems can also generate information that appears convincing but is factually incorrect.
Users must exercise appropriate professional judgement when reviewing AI output.
18. AI MAY MISS INFORMATION
SharpTender AI does not guarantee that AI analysis will identify every relevant item contained in a tender document.
AI may fail to identify or correctly interpret:

• deadlines;
• evaluation criteria;
• submission instructions;
• contract terms;
• definitions;
• cross-references;
• tables;
• schedules;
• attachments;

Users should review the original tender documentation independently.
19. ORIGINAL DOCUMENTS REMAIN AUTHORITATIVE
SharpTender AI may summarise, extract, reorganise or analyse tender information.
These outputs do not replace the original documents.
Where there is a conflict between:

the official tender documentation should be treated as authoritative.
Users should also check for amendments, addenda, clarifications and other updates issued by the buyer.
20. TENDER DEADLINES
AI may assist with identifying key dates and tender deadlines.
You must independently verify all critical dates with the official tender source.
SharpTender AI does not guarantee that:
• a date was extracted correctly;
• every relevant date was identified;
• an external tender deadline has not changed; or
• reminders will always be delivered.
Do not rely solely on AI extraction or SharpTender notifications to meet a tender deadline.
21. NO GUARANTEE OF TENDER SUCCESS
Use of SharpTender AI does not guarantee:
• tender eligibility;
• compliance;
• acceptance;
• shortlisting;
• a particular evaluation score;
• progression to another procurement stage;
• preferred bidder status;
• contract award;
• revenue; or
• commercial success.
Tender decisions are made by third-party buyers or issuing authorities over whom SharpTender AI and SaintClairAppl have no control.
22. NO PROFESSIONAL ADVICE
AI-generated content provided through SharpTender AI is not:
• legal advice;
• financial advice;
• accounting advice;
• procurement advice from the issuing authority;
• regulatory advice; or
• other regulated professional advice.
Tender and contract documentation can create significant legal and commercial obligations.
Where appropriate, users should seek advice from qualified professionals.
23. CONFIDENTIAL AND COMMERCIALLY SENSITIVE INFORMATION
Tender documents may contain confidential, proprietary or commercially sensitive information.
Before using AI functionality, users are responsible for determining whether they are permitted to process particular information using cloud-based or AI-assisted services.
You should consider:
• confidentiality agreements;

• contractual restrictions;
• client confidentiality;

SharpTender AI does not override restrictions imposed by a buyer or another third party.

We seek to limit AI processing to information reasonably necessary to provide the requested functionality.

25. THIRD-PARTY AI INFRASTRUCTURE
SharpTender AI may use third-party artificial intelligence infrastructure or service providers to perform AI processing.
Where required to provide an AI feature, relevant information may be transmitted securely from SharpTender AI's backend infrastructure to an AI service provider.
The specific technology or provider used may change as the Service evolves.
Information processed by service providers may be subject to contractual, security, privacy and data-processing arrangements applicable to those services.

26. AI SECURITY ARCHITECTURE
SharpTender AI is designed so that private AI provider credentials are not embedded directly in the Android application.
The application communicates with SharpTender's backend services, which handle authorised AI requests.
This architecture is intended to reduce the risk associated with exposing private AI service credentials in client applications.
Users must not attempt to bypass SharpTender's backend or gain unauthorised access to underlying AI services.
27. SAVED AI OUTPUTS
Some AI results may initially be presented for review.
Depending on the feature, users may be required to:
• review;
• verify;
• edit;
• accept;
• apply; or
• save
AI-generated information before it becomes part of the tender record.
Where AI-generated content is saved or applied, it may become part of the organisation's tender data.

28. HUMAN-IN-THE-LOOP APPROACH
SharpTender AI is designed as an AI-assisted tender-management system rather than an autonomous tender decision-maker.
Important tender activities should involve appropriate human oversight.
This is particularly important for:
• extracted requirements;
• compliance decisions;
• response content;
• factual claims;
• response reviews;
• approvals;
• submission packages; and
• final tender submissions.
Users and organisations remain responsible for their final decisions and submissions.
29. FINAL REVIEW AND APPROVAL
AI analysis does not replace SharpTender's human review and approval workflows.
Where an organisation requires review or approval before submission, authorised team members remain responsible for carrying out those processes.
An AI-generated quality score or review should not be treated as equivalent to approval by an authorised person.
30. SUBMISSION RESPONSIBILITY
SharpTender AI may assist with preparing and managing submission packages and records.
AI does not assume responsibility for submitting a tender correctly.
Before submission, users should independently verify:
• the final response;
• required documents;
• attachments;
• pricing;
• declarations;
• approvals;
• submission format;
• destination;
• submission method; and
• deadline.
The user and their organisation remain responsible for the final tender submission.
31. PROCUREMENT INTEGRITY
Users must not use SharpTender AI to generate or submit information they know to be false, misleading, fraudulent or unauthorised.
AI-generated text does not remove the user's responsibility for statements submitted to a buyer.
Users should ensure that tender responses accurately represent their organisation's capabilities, qualifications, experience and commitments.
32. INTELLECTUAL PROPERTY
AI-generated or AI-assisted content may raise intellectual property considerations depending on applicable law, source material and how the content is used.
Users are responsible for reviewing AI-generated content before using it commercially and ensuring that their use does not knowingly infringe third-party rights.
SaintClairAppl does not guarantee that every AI-generated output will qualify for intellectual property protection or be free from similarities to third-party material.
33. AI AVAILABILITY
AI functionality depends on technical infrastructure and may occasionally be unavailable.
AI features may be affected by:
• service outages;
• provider availability;
• rate limits;
• network connectivity;
• maintenance;
• security controls; or
• technical errors.
Failure of an AI feature should not be interpreted as a successful analysis or as confirmation that no issues exist.
34. CHANGES TO AI MODELS AND TECHNOLOGY
The AI models, infrastructure and service providers used by SharpTender AI may change over time.
We may change AI technology to:
• improve performance;
• improve security;
• introduce new functionality;
• maintain service availability;
• respond to technical changes; or
• meet legal or operational requirements.
This AI Disclosure is written to apply to SharpTender AI's AI-assisted functionality generally rather than to one particular AI model.

We may update this AI Disclosure as SharpTender AI's AI functionality develops or applicable requirements change.
The "Last Updated" date at the beginning of this disclosure will identify the latest version.
Where appropriate or required, we may provide additional notice regarding material changes.
